NOTICE IS HEREBY GIVEN that the National Federation of State High School Associations is posting an Administrative Assistant for Performing Arts & Sports position for consideration. This position will remain open until Friday, December 7, 2018.

The Administrative Assistant for Performing Arts & Sports will serve as support staff for the Director of Performing Arts & Sports in the areas of speech, debate, theatre, music, boys lacrosse, spirit and conference planning.

Minimum qualifications: Bachelor’s Degree

POSITION TITLE: Administrative Assistant for Performing Arts & Sports

FLSA STATUS: Non-Exempt

REPORTS TO: Director of Performing Arts and Sports

SUPERVISES: NA

GENERAL DESCRIPTION OF POSITION: Administrative Assistant for the Director of Performing Arts & Sports pertaining to the areas of speech, debate, theatre, music, boys lacrosse, spirit and conference planning. These responsibilities include: preparing correspondence, handling calls, data entry, all duties associated with multiple awards programs, assistance to editor of two membership publications (i.e., proofing copy, getting required permissions to reprint copyrighted material, author’s biographical information and distributing the final product to National Editors and authors). Also, assist Director of Performing Arts and Sports in planning NFHS Debate Topic Selection Meeting, NFHS Performing Arts Meetings and annual NFHS Conferences. This position maintains all aspects of department’s web pages; including posting web publications, converting old publications to a web format and posting various web resources for NFHS membership and department committees.

ESSENTIAL AND RELATED JOB RESPONSIBILITIES:

  • Coordinate the NFHS Music Association and NFHS Speech, Debate and Theatre association awards programs.

  • Post various resources on the NFHS Performing Arts sections of the NFHS website.

  • Proofread various publications created in the Performing Arts department: Forensic Quarterly, NFHS Music Association Journal, generate Performing Arts articles for issues of High School Today, semi-annual conference registration and program publications.

  • Coordinate travel and hotel arrangements for committees, Topic Selection, Speech & Music Conferences and for the Director of Performing Arts.

  • Conduct balloting process for the national policy debate topic.

  • Compile, edit and create all materials for all committee meetings.

  • Assist with proofing of rules review materials, rules book edits, exam and questionnaire.

  • Maintain databases.

  • Prepare correspondence to committees, members, state associations, etc. regarding rules meetings, announcements, exam, questionnaire and awards.

  • Assist Director of Performing Arts and Sports with department budget planning. Request honorariums for authors and assistant editors for services rendered.

  • Assist with special projects as time permits.

  • Excellent working knowledge of Microsoft Office, Access, Web Posting software and mail merge.
